Position: Executive Assistant & Communication Executive
Job Description / Capsule:
Provide high-level secretarial and administrative support for the Company President (CP) and partial communication executive work. Requires discretion, confidentiality, and detailed knowledge of the organization’s operations, procedures, and people
Typical Accountabilities
Executive Assistant
- Manage CP’s appointments and schedules. Make travel arrangements to make best use of their time.
- May have access to CP’s email accounts to schedule their appointments and answer or redirect routine enquiries from internal or external sources.
- Handle information confidentially and maintain the security of Executive’s records and files.
- Perform administrative tasks using independent judgment and discretion.
- Plan and organize so that activities are completed accurately and on time. Activities may include preparing documents, screening and responding incoming correspondence, inquiries, phone calls, drafting letters and official information releases
- Support Leadership meetings: arrange, take minutes and action follow-up.
- Facilitate the smooth communications between CP and other stakeholders including internally and externally.
- Review all the documents before submitting to CP for signature to make sure all the documents are in line with our policy
- Provide feedback to CP on all activities across the business (when needed)
- Ensure proper logistics arrangement for CP; co-ordinate with regional & global staff in smooth logistics support for country
Communication Executive
- Support Corporate Affairs in communications coordinator role at 20 % capacity to communicate the organization's vision and ensuring that its values are reflected in staff behavior
- Support the organization of corporate events and employee engagement such National Conference, national celebration days which involving employees (Tet, Women Day, Moon Festival, family day, townhall) and with the aim to provide good understanding of company strategy and business goals and contributing to Great Place to Work.
- Support strategic planning, writing and editing internal company communications, employee announcement
- Build internal engagement initiatives to enhance behaviors and culture
Education, Qualifications, Skills and Experience
- University graduate or equivalent.
- At least 3 year-experience in a similar position.
- Background from diplomatic organizations, iNGOs, trade or healthcare associations preferable
- Excellent oral and written communication skills both in English and Vietnamese.
- Excellent interpersonal skills (ability to interact comfortably with senior management, to withstand pressure/resistance, work with people across functions/levels, high integrity).
- Proficient with computers (Microsoft Office)
- Strong organizational skill
